To aid you in getting the best from WorkSavvy, the most common questions and guidance is provided below...
WorkSavvy is incredibly powerful and whilst using the system is quite intuitive there are certain functions and features that may need a bit more direction, browse the system FAQ to find answers to the most common questions we receive.

If a user is unable to see a work package first make sure you’ve invited them to WorkSavvy AND added them to the work package as a contributor (see the ‘Go Live’ tab during Create process). You will know their account is enabled when a name is listed next to their email address.
Additionally:
For Contractors, make sure the work package is set to ‘YES’ under ‘Is Active?’
For Customers the ‘Release to Customer’ button needs to be selected
The most likely reason is because the activation email sent to you has expired - you can request a new activation by emailing help@worksavvy.io confirming your email address and the name of the Organization who invited you and we will send a new link.
To add an internal user (i.e. a colleague or somebody who will operate within your Organization), simply click on your Organization name in the top right corner, click on the Cog, click the ‘Add User’ button at the top of the page and complete the process as guided.
To add external users (i.e. Contractor or Customer) you will invite them during the stage when you create a new profile in the WorkSavvy database - see the FAQ question ‘How/where do I add new Contractor or Customer profiles’.
There are several roles in WorkSavvy depending on the functionality you would like to enable for a specific user:
Owner: Provides full admin rights to the user, they can Create and Manage any/all work packages as well as add/remove users from your organization
Consultant: Is able to Create and Manage a work package they will oversee - they cannot add/remove users, nor invite new users to the system. They can edit/manage a work package if added as a contributor
Management: is similar to Owner except they cannot add/remove users from the organization. Additionally Management receives different notifications (summarised approvals) rather than full detail
Legal & Finance: a specialist role dedicated to providing specific notifications and actions to Legal/Finance users - they are able to view work packages but cannot edit or amend anything or anyone involved
Contractor: to be used by all resources/suppliers who will be delivering into a work package, they will receive specific notifications and access to dedicated dashboards
Customer: to be used by all buying/procuring parties who you are providing this work too, they will receive a dedicated dashboard and notifications relating to the work you are delivering
On the right hand menu, you will notice there is a Customer and Contractor/Resources menu option, once selected you will see there is an ‘Add Customer’ or ‘Add Resource’ button - click these and complete all desired information, please note some is mandatory.
When ready you can click ‘Save & Invite’ or ‘Save & Close’ - the first option will automatically invite the user to join your WorkSavvy organization. The second option will simply create the new profile, ready for you to invite users at a later stage.
The Manage Dashboard has a master filter feature which will filter the page on a per contractor basis.
Select the orange ‘Filter by Resource’ button (located in the top right corner of the Manage dashboard.
You then have the option to ‘Display All’ or select a specific contractor.
If you select a contractor, you will only see information (timesheets, invoices, deliverables etc.) submitted by/relevant to the selected contractor.
Select ‘Create’ for a work package.
Visit the ‘Go Live’ stage.
At the bottom of the ‘Go Live’ page, there will be a section titled ‘Work Package Contributors’. Here, you will see a list of stakeholders that have been granted visibility of this work package. To add additional stakeholders, simply select ‘Add Contributor’, then the user that you wish to add from the drop-down, and finally ‘Add User to Work Package’.
Alternatively, on your WS dashboard, click the unique work package ID code and the list of Work Package contributors will appear. Here, you also have the option to add Work package contributors.
Select ‘Create’.
Under ‘Overview’, you have the option to change currency. WorkSavvy provides the following options: GBP, USD, EUR, AUD, CAD, CHF.
If you require another currency, please contact - help@worksavvy.io and we will look to add this to our roadmap.
Nothing will actually happen to your work package once an end date passes as we do not automatically lock activity - projects overrun all too often. We would recommend however either amending the end date by going to the Overview tab during the Create process. It is good practice to capture any extensions formally either through submitting a Progress Update or Change Request in the Manage Dashboard.
The WorkSavvy system allows you to have up to 99 contractors/resources per work package.
Whilst the system is more than capable of managing projects/services on this scale, it is our recommendation that you try to have a maximum of 50 resources/contractors deployed under a single work package for simpler administration and management of the work being performed.
Also known as the ‘Master’ SOW, this is used to govern the whole work package and is typically where you will define the complete set of work requirements (Objectives, Deliverables & Milestones etc.) that you have agreed to deliver to your customer. These activities will in turn be used to breakdown and distribute elements into your resources specific SOW’s for actual completing & tracking.
If you are using WorkSavvy to manage an internal piece of work you do not necessarily need to create a master SOW but you may find it beneficial to have one for simpler reporting and budgeting purposes. Remember, just because you have a ‘Master SOW’ you do not need to actually have an active Customer using the system, it could be purely for internal purposes.
Also known as the ‘Resource SOW’, these are used to detail the exact activities and work requirements (Objectives, Deliverables & Milestones etc.) that you need this specific resource (i.e Contractor) to complete as part of their engagement with your Organization. The tasks and deadlines along with reporting requirements can all be documented and distributed in these ‘Resource SOWs’
Yes, very quick and easy!
Any work requirement once defined can be duplicated between any user - from resource to resource or from master/customer to resource and even from master to master.
By simply clicking on the Duplicate icon you can then select Customer or Contractor SOW (click OK when prompted) and if selecting Contractor, in the next window (the Define Work Requirements page) you can choose which Resource to allocate this duplicated requirement to.
Don't worry if you're unable to answer all of these questions as many Project owners also face similar challenges in these areas and are unable to demonstrate total awareness and control across the whole lifecycle their projects go through.
